Avrios (which begins at $1 per vehicle per month) is one of the leading fleet management solutions on the market and for good reason.
It's affordably priced, very easy to use, and it's also useful for managing your fleet's various workflows.
With that in mind, it lacks the vehicle-tracking functionality that other platforms such as Zubie and Editors' Choice winner Fleetio have.
While it's not quite an Editors' Choice in its own right, Avrios is a solid platform that you should definitely consider if you're trying to make better sense of your fleet.
Pricing and User Interface
Pricing for Avrios is straightforward.
The main product offers four tiers.
An Avrios representative told us that all pricing is done on an annual contract basis, and there are discounts available for enterprise-level fleets.
The Basic edition costs $1 per vehicle per month and includes access to the most core management features, such as the databases for vehicles and drivers, alerts, and incorrect mileage checks.
For $3 per vehicle per month, you'll get access to the Automated Data Entry tier.
This includes all of the basic features plus support from Avrios in importing your data, fuel card integration, invoice verification, and total cost of ownership (TCO) monitoring, among other features.
The Powerful Analytics tier costs $6 per vehicle per month and includes reporting features, digital damage reports, user access levels, vehicle lifecycle management, and ecology reports.
The top tier is the True Platform edition (which we tested), which costs $9 and adds the Advanced Digital Procurement module, which brings together the driver, the company, the dealership, and other entities into one collaborative page.
It also includes integration with telematics providers and integrations with what the company claims are hundreds of service providers.
Avrios is priced competitively with other solutions such as Fleetio, which starts at $3 per vehicle per month on an annual basis.
Another competitor, Onfleet (149.00 Per Month for 1,000 Tasks at Onfleet) , starts at $149 per month on an annual basis.
The low starting price per vehicle makes Avrios a highly scalable platform and definitely a good consideration if you want a platform that can grow with you.
Whether you're trying to manage a fleet of trucks or a stable of employees, it's important that any management platform is easy to understand and use.
Luckily, Avrios has a clean, attractive user interface (UI) that staff at all levels should have no trouble using.
When you log on, the first thing you see is the Operations Overview page.
This gives you a general look at, among other things, the active drivers and vehicles in your fleet, any open insurance cases or vehicle damage cases, and vehicles currently in decommissioning.
You can also see any open tasks right from this starting page.
On the side of the screen is a series of tabs for the Operations Overview, The Fleet, Drivers, Invoices, Costs, Reports, Tasks, Pools, Settings, and a Help page.
Avrios chose readable fonts for the platform, and the blue-and-gray color scheme is easy on the eyes and looks as modern as any other software in 2018.
With very little training, we were up and running with Avrios thanks in part to its fantastic UI.
Setup
Adding drivers and vehicles in Avrios is fairly easy.
To add a vehicle, simply go to the Vehicles tab and select "New Vehicle." From there, you follow a step-by-step guide.
You are asked for the license plate number, any sort of internal ID number you may use in your company, an affiliated company, and registration date information.
You can either search for the make and model of your vehicle or enter it by VIN number.
From there, you can configure the type of financing you have for your vehicle, and enter data for its purchase price, lease term, and virtually any other data you'd want to enter about a commercial vehicle.
Adding Drivers works in a similar fashion.
In the Drivers tab, simply click "Add driver" and you will be asked to enter the employees' first and last names, internal ID numbers, email addresses, and phone numbers.
Entering all of this information about vehicles and drivers is a time-consuming task, but there is a lot of information to keep track of when managing a fleet.
Having granular information about vehicle registration, licensure, and other aspects entered into the system make the platform all the more useful when you are in it day to day.
Truth be told, Avrios has made this process about as intuitive and painless as it can possibly be.
Cost Control
The Costs module within Avrios is both useful and intuitive.
Click on the Costs tab on the side menu, and you will be taken to the Cost Overview that has, as its name implies, a quick glance of how much your fleet costs to operate.
It alerts you of any pressing inefficiencies in the fleet.
You can see how much your fleet is costing you in total, broken down by month.
From there, you can explore the subtabs containing information on TCO, which takes into account things such as maintenance and fuel costs.
An added bonus is that Avrios will compare the fuel mileage that your vehicles are getting with what the norm is for a vehicle of that kind.
Say you entered a "Ford Transit van" as a part of your fleet and you are getting 10 miles per gallon on it.
If data on the company's end finds that a Ford Transit van should get around 15 miles per gallon, it will alert you to this discrepancy.
Being able to spot vehicle problems automatically in this way is helpful (you could use this information to investigate and spot a potential problem in the van, for example), and it's easy to see companies being able to remedy problems they otherwise wouldn't have spotted until it had already cost them a small fortune.
In a similar vein, the Fuel Costs and Cost Analysis modules are also designed to help you spot inefficiencies in your fleet.
Fuel Costs allws you to import data from either your fuel card or fuel-related paperwork.
Costs are broken down by vendor over time or per time of day and weekday.
You can also search for specific information by selecting a number of filters, including vehicle manufacturer and vehicle type.
Cost Analysis takes all sorts of information, such as vehicle, fuel costs, and more.
You can apply all kinds of filters based on vehicle type, mileage, and more.
You can even export this data to Microsoft Excel, if you'd like.
The Invoices module is also designed to help you see and manage your fleet's costs.
Using optical character recognition (OCR) technology, you can upload scans of fleet-related invoices, and the solution will be able to read the documents and decipher information such as prices, company names, and contact information.
Once uploaded, you can access them through the Invoices module.
If you work for a company that has its invoices stored away in filing cabinets, then you will undoubtedly appreciate being able to access a record after applying just a few filters.
Once you have found the information you need, you can export it to Adobe Acrobat's PDF format for printing.
Smart Management
Reports are another useful part of the platform.
Once you have all of your vehicle, driver, and fuel data entered into the system, Avrios will assemble all of that data into canned reports that you can view and use to make decisions.
There are various reports available for suggested vehicle replacements, vehicle utilization, damages, ecology, and more.
Having all of this information available instantly can take a lot of the manual work out of checking up on vehicles and drivers, and if you are coming to Avrios without having ever used a fleet management solution, this is sure to make your life a lot easier.
The Tasks modules also makes managing a fleet much easier.
In basic terms, the task-based functionality works in a similar fashion to a dedicated collaboration tool such as Asana (Free at Asana) .
From the Task menu, simply click the add button and you will be asked to name the task, give it a due date, and attach a vehicle to it.
Tasks can be anything from telling staff to perform routine maintenance on a vehicle or moving the vehicle to a new location.
You can even put more complex information into the task, such as the location of the task and any comments you want to add.
You can even assign a particular employee to a task, just like in Asana.
Setting up a task takes a matter of seconds, and being able to make assignments from within the platform is one of the biggest strengths of the Avrios platform.
When it comes to the administrative side of managing a fleet, Avrios has just about anything you want in this sort of platform.
It would have been nice to see GPS-oriented vehicle monitoring features that we've seen in other products, and we'd like to see this incorporated into a future version of the product.
With that in mind, Avrios offers a great set of features, and its pricing structure is agreeable to companies of all sizes.
The fact that it's so easy to use makes it all the sweeter.
Just make sure you're thorough in entering all of your vehicle and driver information.
The Bottom Line
Avrios is extraordinarily useful in handling all of the administrative tasks involved in managing a fleet.
Just don't expect any vehicle-tracking features.
